Question 1

What is an AI Assistant?

Accepted Answer

A governed digital operational worker that takes responsibility for a defined role—such as dispatch coordination or invoice exceptions. It performs multi-step work across your systems and channels, applies your rules, asks people for judgment when required and reports measurable, auditable results.

Question 2

How is it different from a chatbot, copilot, RPA or workflow automation?

Accepted Answer

A chatbot answers questions and a copilot helps a person in the moment—the person remains the operator. RPA and workflow automation follow fixed steps. An AI Assistant owns long-running operational work end to end, interprets unstructured situations and still enforces deterministic rules and human approvals.

Question 3

Which business processes are best suited for an AI Assistant?

Accepted Answer

High-volume, repetitive coordination mixed with contextual decisions and exceptions—especially where employees act as “human middleware” between disconnected systems, email, phone and spreadsheets, and where the process is documented in SOPs or institutional knowledge.

Question 4

Where should we start?

Accepted Answer

Start with one painful, bounded operational role that has a measurable outcome, an accountable business owner, reachable systems and a practical human-approval path. Prove value in supervised operation, then expand.

Question 5

Should we begin with one Assistant or an enterprise-wide program?

Accepted Answer

Begin with one Assistant on a governed foundation that is designed to scale. Enterprise standards—inventory, model policy, access control, audit—should be established early so the second and third Assistants reuse them rather than create AI sprawl.

Question 6

How should we calculate ROI without speculative AI claims?

Accepted Answer

Baseline the current work: people involved, hours of coordination, volume, cycle time, rework and service levels. Measure the Assistant against that baseline during supervised operation, including its own operating cost. Treat any pre-deployment estimate as an assumption to validate, not a promise.

Question 7

Does an AI Assistant reduce cost, create capacity or improve revenue?

Accepted Answer

It can do all three, depending on the role: cost avoidance through operating leverage, capacity expansion without proportional hiring, faster cycle times, 24/7 coverage and faster speed to revenue. Which levers apply should be decided per role and measured.

Question 8

How do we avoid another pilot that never reaches production?

Accepted Answer

Design for production from the start: real systems, real approval paths, baseline and target KPIs, defined release gates and an owner. Pilots should use one or two high-value workflows with strong human approval gates and a clear decision on what “good enough to expand” means.

Question 9

What work should AI perform, and what remains human?

Accepted Answer

AI interprets. Software enforces. People judge. The Assistant handles repetitive coordination, follow-up, documentation and routine updates. People keep relationships, accountability, exceptions, consequential approvals and strategic decisions.

Question 10

Does adopting AI Assistants mean reducing staff?

Accepted Answer

RapidData positions AI Assistants as operating leverage and capacity—removing administrative load so people can focus on judgment, customers and growth. Workforce decisions remain entirely yours.

Question 11

Who manages an AI Assistant?

Accepted Answer

A named business owner, supported by an operations control center. They see active work, queue depth, pending approvals, exceptions, cost and outcomes, and they own changes to the Assistant’s authority.

Question 12

How do Full Auto, Ask First and Alert Only work?

Accepted Answer

Full Auto executes low-risk, reversible work within approved policy and logs it. Ask First prepares the action with evidence and waits for authorized approval. Alert Only identifies the issue and gives context for a person to act. Human Only work is never executed by AI. Autonomy is set per action and can increase as measured performance earns trust.

Question 13

What happens when the Assistant is uncertain or wrong?

Accepted Answer

Uncertainty, missing information and policy conflicts route to the Human Attention Queue with the AI recommendation, evidence and confidence. Overrides are captured with a reason, and recurring errors become structured improvement items that are tested before the next release.

Question 14

How are employees trained and how does their work change?

Accepted Answer

Teams move from performing every coordination step to supervising outcomes, approving consequential actions and resolving exceptions. Training covers the attention queue, approvals, overrides and how to give feedback that improves the Assistant.

Question 15

Can it work with our existing ERP, CRM, databases, portals and spreadsheets—or must we replace them?

Accepted Answer

Your systems of record remain authoritative. The Assistant consumes APIs, webhooks, events, email, SMS, voice and documents, orchestrates the next action and writes approved outcomes back. Wrap, don’t replace.

Question 16

What if a system has no API?

Accepted Answer

Browser or RPA automation can be used when APIs are unavailable or impractical. Its maintenance risk is identified and priced explicitly during design rather than hidden.

Question 17

Does our data need to be perfect before we begin?

Accepted Answer

No. Discovery identifies which records, documents and rules the first role actually needs. Imperfect or missing information is handled through validation and human attention instead of blocking the whole program.

Question 18

Who owns our data and the solution IP?

Accepted Answer

Your operational data stays yours and in your systems of record. IP, reference and commercialization rights are agreed explicitly in each engagement before work begins.

Question 19

What information can the Assistant access, and how is least privilege enforced?

Accepted Answer

Each Assistant has an explicit authority envelope: permitted and prohibited capabilities, scoped tool connections, knowledge access and financial limits. Prohibited capabilities stay unavailable even if a connected system technically supports them.

Question 20

Can we see every AI asset operating in the company—and which model, knowledge and tools were used?

Accepted Answer

Yes. Every deployment is pinned to a versioned manifest covering its role, workflows, tools, channels, knowledge sources, model routing, policies and approver. Each action records the resources, evidence and decisions it used.

Question 21

How are decisions and actions audited?

Accepted Answer

Actions, approvals, overrides and outcomes are recorded as append-only audit events linked to the business record. Traceability covers evidence and decisions—not a claim to expose hidden model chain-of-thought.

Question 22

Can we choose or change LLM providers?

Accepted Answer

Model selection is task-specific and governed by approved providers, privacy, residency, latency and cost, with fallback options. Deterministic actions need no language model at all, which avoids lock-in to a single vendor.

Question 23

How are privacy, residency, retention and deletion addressed?

Accepted Answer

Retention, redaction, recording and residency requirements are configured per customer and channel during design. Specific controls and documentation are provided during security review.

Question 24

What does implementation require from us, and how long does it take?

Accepted Answer

A business owner, subject-matter time for process mapping, system access and approval authority definitions. Timelines depend on workflow complexity, integrations and channels; scope and timeline are confirmed in a fixed-scope discovery.

Question 25

How is the Assistant monitored and improved after launch?

Accepted Answer

Through the operations control center, KPI tracking, evaluation trends and production sampling. Failures, overrides and knowledge gaps generate improvement items that are evaluated and released through governed deployments.

Question 26

How do we expand from one role to multiple departments?

Accepted Answer

Reuse the governed foundation: capabilities, policies, connections and evaluation suites carry forward, so each additional Assistant is configured rather than built from scratch.

Question 27

What is fixed-price and what is variable?

Accepted Answer

Discovery and design are typically fixed scope. Production implementation depends on integrations and complexity. Recurring costs include platform and managed operations; AI, voice, SMS and third-party usage is consumption-based.

Question 28

Can RapidData configure a custom Assistant or application?

Accepted Answer

Yes. If no predefined role fits, RapidData configures a custom Assistant—or an AI-enabled enterprise application—around your responsibilities, systems and governance.
